CALL / TEXT / EMAIL
In addition to reaching out to the client when you're first assigned, we recommend sending a confirmation call, text, or email approximately 48 hours before the appointment. Be sure to cover the following:
Location - Confirm the address and general location of the shoot. Some shoot locations can be in a larger structure or confusing layout. Go over the best way to navigate to the shoot. If applicable - This is also a good time to ask about where nearest parking can be found.
Shoot Date & Time - Confirm the date and time you see on the project aligns when the client expects you. This is also a good time to explain the amount of time you may be on location for time limited projects.
Shoot Contact - Confirm who will be on-site at the time of the shoot. It may not be the client you are speaking to on the confirmation call. If applicable, see if you can get additional contact information for who will be on-site. Give them your contact information.
Shoot Process/Expectations - This is a good opportunity to give a brief description on how the shoot will go and what you are looking to capture while there. Explain to the client what you will need when you arrive on-site. For example - that you will need a space to capture items or people, or what areas at the location to capture; who can complete release forms.
Example Call/Text/Email Script:
Hi this is _______, I am calling to confirm your photo shoot for <PARTNER> on <Date/Time> at <Location>. The appointment will last about <Length of shoot> and I’ll need < Items/Space Access> while I'm there. I’m happy to answer any questions and looking forward to completing your photo shoot!
Unable to reach your contact to confirm the photoshoot?
1. Try calling multiple times at different times of day and check for opening hours.
2. Leave a voicemail and send a follow-up text message (or email if no mobile number is provided) letting them know you will be arriving at the date/time to shoot x number of items/space access.
3. Plan on going to the shoot unless you hear otherwise from the client, partner or SmartShoot.
